Terms & Conditions – AV Rental Services 1. Booking & Advance Payment A mandatory 50% advance payment is required to confirm any booking. This advance is split as follows: 10% must be paid via the Gig Heaven platform (as per Gig Heaven policy). 40% must be paid via direct bank transfer to the service provider. No booking will be confirmed and no equipment will be reserved until both payments are completed. 2. Balance Payment The remaining 50% balance payment must be paid strictly on the event date, after the setup is completed and before the event starts. The event will not commence, and equipment will not be powered on or operated, until the full payment is received. 3. Cancellation Policy Any cancellation made after confirmation will result in forfeiture of the advance payment. Cancellations made within 48 hours of the event may be charged up to 100% of the booking value, depending on logistics and preparation already completed. 4. Equipment Responsibility & Safety All AV equipment provided remains the sole property of the service provider. The client is fully responsible for the safety, security, and proper handling of the equipment from the time of setup until dismantling. Equipment must be protected from: Water, rain, humidity, sand, dust Physical impact, mishandling, overloading Unauthorized access or use by guests, staff, or third parties 5. Damage, Loss & Liability In the event of any damage, loss, theft, or malfunction caused by misuse, negligence, environmental factors, or third-party interference: The client will be held fully responsible. Repair or replacement costs will be charged at market value. The service provider is not liable for damages caused due to unsafe venue conditions, power issues, or client/guest interference. 6. Power & Venue Requirements The client must ensure stable and suitable power supply at the venue. Any damage caused due to voltage fluctuation, power failure, or improper electrical setup will be the client’s responsibility. Access to the venue must be provided on time for smooth setup and dismantling. 7. Event Delays & Overtime Delays caused by the client or venue may result in additional charges. Any overtime usage beyond the agreed duration will be charged separately. 8. Right to Refuse Service The service provider reserves the right to stop the event or withhold services if: Payments are not completed as agreed Equipment is being misused or put at risk Safety of equipment or personnel is compromised 9. Agreement Acceptance By confirming the booking through Gig Heaven and/or direct payment, the client agrees to all the above terms and conditions.
