To recommend the most suitable audiovisual setup, we would ideally need:

Venue name, address and event room.

Room dimensions and ceiling height, preferably with a floor plan and recent photos.

Expected number of guests and seating layout.

Existing AV equipment available at the venue.

Access and timings for delivery, setup, testing and dismantling, including loading facilities and lift access.

Available power supply and any sound or installation restrictions.

Internet availability, if streaming or video conferencing is required.

Venue contact person for technical coordination.

If you do not have all this information, simply share the venue details and your event requirements. AVBOX can liaise with the venue directly and arrange a site visit if needed.

On the day, we normally require:

Space: Clear areas for the agreed AV setup and technical control desk, plus a small space for empty cases.

Power: Safe, reliable power outlets close to the equipment. We will confirm any dedicated circuit requirements in advance.

Access: Access at the agreed time for unloading, setup and testing, with a clear route to the event room and a suitable lift if required.

Parking: A loading/unloading space near the entrance and, where possible, parking for our technical vehicle.

Venue contact: Someone available to assist with access, power and any on-site arrangements.

We will coordinate these details with the venue beforehand to ensure everything runs smoothly.

Setup time depends on the size and complexity of the event. As a general guide:

Simple setups: 1–2 hours to set up and test, and 30–60 minutes to pack down.

Medium-sized events: 3–4 hours for setup and testing, and 1–2 hours for pack-down.

Larger productions with LED screens, staging and lighting: 6–8 hours or more for setup, often the day before, and 2–4 hours or more for pack-down.

We confirm timings in advance, allowing enough time for testing and any agreed rehearsals before guests arrive.

Yes, AVBOX holds public liability insurance. We can provide proof of cover and relevant technical documentation on request. Please let us know if your venue requires any specific certificates so we can confirm availability in advance.

Absolutely. Every AVBOX setup is tailored to the event, venue, audience and budget. From a small meeting to a large conference, wedding or product launch, we adapt the sound, screens, lighting and technical support to suit your needs.

We also consider the programme, room layout and any remote participants, helping you choose the right equipment to ensure everyone can see, hear and feel part of the experience.

Our standard service typically includes audiovisual equipment hire, delivery, setup, testing and collection. Depending on your event, this can include a sound system, microphones, screens or projection, lighting and the necessary cabling.

We also provide planning support and can include an on-site technician to operate the equipment throughout the event. Every quotation clearly outlines the equipment, staffing and services included, so you know exactly what to expect.

We recommend booking as soon as your event date and venue are confirmed, ideally at least 4–6 weeks in advance. For larger productions or busy periods, 2–3 months gives us more time to plan and secure the equipment and technical team.
