Legal Terms & Conditions 1. Booking & Deposit A non-refundable deposit of 70% of the total agreed fee is required to confirm and secure your event date. No date is held until the deposit has been received. The remaining balance is due no later than 7 days prior to the event date. Failure to settle the outstanding balance by this deadline may result in cancellation of the booking. 2. Cancellation Policy Cancellations made more than 30 days before the event date will result in forfeiture of the deposit only. Cancellations made within 14–30 days of the event will incur a charge of 75% of the total agreed fee. Cancellations made within 14 days of the event will be charged in full. L'Ombra reserves the right to cancel in the event of circumstances beyond our reasonable control (force majeure). In such cases, a full refund of all payments received will be issued. 3. Responsible Service of Alcohol L'Ombra operates in full compliance with South African liquor legislation. We reserve the right to refuse service to any guest who appears intoxicated, is under the legal drinking age of 18, or is behaving in a manner deemed unsafe or disruptive. The client accepts responsibility for ensuring that minors at the event are not served alcohol. L'Ombra cannot be held liable for the conduct of guests after service has concluded. 4. Client Responsibilities The client is responsible for ensuring adequate space, access, and power supply (at minimum one standard 220V plug point) for the bar setup. A suitable surface or table for the bar station must be available. The client is also responsible for arranging the necessary permissions or permits required by the venue for the service of alcohol, where applicable. 5. Spirits & Ingredients Unless a curated spirit package has been agreed upon and included in the quoted fee, all spirits, wines, beers, and mixers are to be supplied by the client. L'Ombra supplies all bar equipment, tools, garnishes, and consumables required for cocktail preparation. A detailed list of required spirits and mixers will be provided upon confirmation of booking. 6. Travel & Distance Travel within 20km of the agreed point of departure is included in the quoted fee. Travel beyond 20km is charged at R5 per kilometre (return distance). Events requiring overnight accommodation will be quoted separately. Any toll or parking costs incurred are for the client's account. 7. Damage & Liability L'Ombra takes all reasonable care with equipment, glassware, and the event environment. However, we cannot accept liability for accidental damage to the client's property or venue caused by circumstances beyond our reasonable control. The client indemnifies L'Ombra against any claims arising from the actions of their guests. L'Ombra's total liability shall not exceed the total fee paid for the event. 8. Changes to Booking Any changes to the agreed event date, time, location, or scope of service must be communicated in writing at least 14 days prior to the event and are subject to availability and written confirmation by L'Ombra. Changes requested with less than 14 days' notice cannot be guaranteed. 9. Payment Payment may be made by EFT (Electronic Funds Transfer). Banking details will be provided upon invoice. All prices quoted are in South African Rand (ZAR) and are inclusive of VAT where applicable. Invoices not settled by the agreed due date may attract interest. 10. Governing Law These terms and conditions are governed by the laws of the Republic of South Africa. Any dispute arising from the booking or provision of services shall be subject to the jurisdiction of the South African courts. By confirming a booking with L'Ombra, the client agrees to be bound by these terms and conditions in their entirety.
