# THE SHADES – FULL BAND ## Booking Terms & Conditions These Terms & Conditions apply to bookings of The Shades full live band arranged through Gig Heaven Agency, including weddings, private parties, corporate functions and other events. ### 1. Booking Confirmation 1.1. All bookings are subject to availability and confirmation through Gig Heaven Agency. 1.2. The booking is confirmed once the engagement has been agreed and confirmed through Gig Heaven Agency. 1.3. All fees, invoices and payment arrangements will be handled in accordance with the agreed booking terms between Gig Heaven Agency, the client and the band. ### 2. Payment Terms 2.1. All payments must be made in accordance with the payment instructions and deadlines provided by Gig Heaven Agency. 2.2. The client is responsible for ensuring that all payments are made by the agreed due dates. 2.3. Any additional services, extended performance time, parking charges, travel expenses or other agreed costs must be approved in advance and handled through the agreed agency booking arrangements. 2.4. Any extension to the band's performance must be agreed with The Shades and Gig Heaven Agency and may incur an additional fee. ### 3. Cancellation and Postponement 3.1. All cancellations or requests to postpone a booking must be communicated to Gig Heaven Agency in writing as soon as possible. 3.2. Any cancellation charges, refunds or postponement arrangements will be dealt with in accordance with the applicable booking agreement and Gig Heaven Agency's agreed terms. 3.3. If an event is postponed, The Shades' availability for the alternative date must be confirmed before any new arrangements are finalised. 3.4. If unforeseen circumstances prevent the band from performing, Gig Heaven Agency and the relevant parties will work together to establish a reasonable solution, subject to the applicable booking agreement and law. ### 4. Performance Times and Breaks 4.1. Performance times and set lengths will be agreed before the event. 4.2. A typical booking may consist of two 45-minute sets or three 40-minute sets, unless otherwise agreed. 4.3. The band requires reasonable breaks between sets. 4.4. The client and venue must allow sufficient time for unloading, setup, soundcheck and packing away equipment. 4.5. Delays caused by the venue, client or other suppliers may affect the performance schedule. The band will make reasonable efforts to accommodate changes where possible, but additional playing time is not guaranteed. 4.6. Any extension beyond the agreed finish time is subject to the band's availability, venue restrictions and an additional fee agreed through Gig Heaven Agency. ### 5. Access, Loading and Unloading 5.1. The client or venue must ensure that The Shades have suitable access to the performance area at the agreed arrival and setup time. 5.2. Clear and safe access must be provided for loading and unloading instruments, speakers, lighting, stands, cables and other equipment. 5.3. Any access restrictions, including long walking distances, stairs, narrow corridors, restricted entrances, security checkpoints or limited loading times, must be communicated to Gig Heaven Agency and the band in advance. 5.4. Ground-floor access or a suitable service lift should be provided wherever possible. 5.5. If the performance area is not on the ground floor, a suitable, working lift or service lift must be available for transporting equipment wherever reasonably possible. 5.6. If equipment must be carried up or down stairs, this must be disclosed before the event is confirmed. Additional charges may apply if extra labour, additional setup time or alternative arrangements are required. 5.7. The band reserves the right to refuse to move equipment through access routes that are unsafe or unsuitable. A reasonable alternative should be agreed with the venue where possible. 5.8. Any undisclosed access restrictions that cause additional work, delays or costs may result in additional charges, where reasonably incurred and agreed through the agency arrangements. ### 6. Parking and Vehicle Access 6.1. The client or venue must arrange suitable parking for the band's vehicles as close as reasonably possible to the loading entrance. 6.2. Where possible, a loading bay, service entrance or nearby parking space should be available for unloading and packing away equipment. 6.3. Any parking permits, access passes, loading permits or venue permissions required must be arranged in advance by the client or venue. 6.4. Parking fees, venue parking charges and any applicable access or congestion charges must be agreed in advance and handled through Gig Heaven Agency's booking arrangements. 6.5. If suitable parking or vehicle access cannot be provided, the client must inform the agency and band before the event. 6.6. The band cannot be held responsible for delays caused by unavailable parking, restricted vehicle access or venue loading procedures outside its reasonable control. ### 7. Performance Area and Equipment 7.1. The client or venue must provide a suitable, stable, dry and safe performance area large enough to accommodate the full band and its equipment. 7.2. Adequate electrical power and safe electrical supplies must be available for the band's agreed sound and lighting equipment. 7.3. The performance area must be protected from rain, excessive moisture and other conditions that could damage equipment or create a safety risk. 7.4. Any stage size restrictions, sound limiters, noise restrictions, curfews or venue-specific technical requirements must be communicated before the event. 7.5. The band reserves the right to adjust its setup or volume to comply with reasonable venue restrictions and applicable safety requirements. 7.6. The performance area must remain clear and accessible during setup, performance and pack-down. ### 8. Setup and Soundcheck 8.1. The band requires sufficient time to unload, set up and soundcheck before the agreed performance start time. 8.2. The client or venue must confirm the earliest permitted arrival time and any restrictions regarding setup and soundcheck. 8.3. Reasonable access to the performance area must be provided before guests arrive or before the agreed soundcheck time. 8.4. Delays outside the band's control will not automatically extend the agreed performance finish time. ### 9. Meals and Refreshments 9.1. For longer bookings, meals and refreshments for band members are appreciated where venue arrangements permit. 9.2. Any meals or refreshments specifically included in the booking agreement will be provided as agreed. ### 10. Client and Venue Responsibilities 10.1. The client or venue is responsible for ensuring that the venue is suitable for a live band and that all required permissions, licences and approvals are in place. 10.2. The venue must permit live music at the agreed times and comply with applicable noise restrictions and curfews. 10.3. Accurate event details, including the venue address, contact details, access arrangements, performance schedule and restrictions, must be provided in advance. 10.4. Any changes that could affect the band's performance, access or setup must be communicated promptly to Gig Heaven Agency and The Shades. 10.5. The client may be responsible for damage to the band's equipment caused by the client, guests or other persons under the client's control, except where the damage is attributable to the band's own acts or omissions. ### 11. Safety and Conduct 11.1. The Shades reserve the right to suspend or stop a performance if conditions become unsafe, equipment is at risk of damage, or band members are subjected to threatening, abusive or inappropriate behaviour. 11.2. Where reasonably possible, the band will inform the event organiser and attempt to resolve the issue before suspending the performance. 11.3. The band is not responsible for interruptions caused by emergency evacuations, power failures, unsafe venue conditions or circumstances beyond its reasonable control. ### 12. Unforeseen Circumstances 12.1. If circumstances beyond a party's reasonable control prevent the performance from taking place, the parties will work together to find a reasonable solution. 12.2. Such circumstances may include serious illness, accidents, extreme weather, major transport disruption, government restrictions or other exceptional events. 12.3. Any rescheduling, refunds or other remedies will be handled in accordance with the applicable booking agreement and relevant law. ### 13. Music Requests and First Dance 13.1. Special song requests, including first-dance songs for weddings, should be submitted well in advance. 13.2. Requests are subject to the band's repertoire, arrangement requirements and availability. 13.3. A requested song cannot be guaranteed unless it has been agreed with the band in advance. ### 14. Photography and Promotion 14.1. The band may request permission to use photographs or video footage from an event for promotional purposes. 14.2. Images featuring identifiable clients or guests must be used with appropriate permission and in accordance with applicable privacy and data protection law. 14.3. Any restrictions on photography or filming must be communicated to the band in advance. ### 15. General Booking Conditions 15.1. These Terms & Conditions should be read alongside the confirmed booking details supplied through Gig Heaven Agency, including the event date, venue, performance times, agreed fee and services. 15.2. Any amendments to the booking must be agreed in writing through the appropriate agency arrangements. 15.3. These terms do not exclude or limit any rights or liabilities that cannot lawfully be excluded or limited under applicable law. **The Shades thank you for choosing us to be part of your special event.
