How to pay a supplier

On a Gig Heaven booking, the supplier's earnings - 90% of the total fee - are paid directly to the supplier by the customer. Only the 10% deposit goes through Gig Heaven (see how payments work). This article covers where to find the supplier's payment instructions, the common ways to pay, and when to pay.

Where to find the payment instructions

Every supplier writes their own payment instructions into the booking contract - how they'd like to be paid, and by when. You'll find them in two places:

  • On the contract, in the Fee and Payment section, which lists the total fee, the deposit and the balance as separate amounts, followed by the supplier's instructions for paying the balance.
  • In the Event confirmed! message you receive when your deposit is paid - it repeats the instructions under Paying the balance, alongside the supplier's direct email and phone number.
Example: on a £1,000 booking, the contract shows a £100 deposit (paid to Gig Heaven when you agreed the contract) and a £900 balance, with an instruction like "To be paid by bank transfer to account 12345678, sort code 00-00-00, no later than the start of the event."

Common payment methods

Most suppliers accept several ways to pay, depending on the country they're based in:

  • Bank transfer - the most common, usually a few days before the event.
  • Cash - typically handed over on the day, before the event starts.
  • PayPal, Venmo and similar - where the supplier offers them.

Paying the supplier by card

Suppliers aren't usually set up to take card payments directly, but many can take one through PayPal: the supplier sends you a PayPal invoice, and you pay that invoice by card. If you'd prefer to pay the balance by card, just ask the supplier whether they can do this.

When to pay

Pay by the time the contract says - suppliers normally ask for the balance before, or at the start of, the event, and it should never be later than that. If the timing isn't clear from the contract, message the supplier well before the event and agree it - after the deposit you also have each other's direct contact details, so a quick call works too.

Keep a record of the payment - a bank transfer reference, or a line in your messages confirming cash was received. Gig Heaven never handles the balance, so your payment receipt from us covers the deposit only; for the balance, ask the supplier for their own receipt or invoice.
