Booking multiple dates or long term contracts

A single Gig Heaven booking can cover more than one date - a festival weekend, a run of rehearsals plus the big day, or a long-term arrangement like a monthly residency. It all goes on one contract, with one total fee. Here's how to set it up.

Start with the first date

When the customer creates their event, they enter the date of the first event - the enquiry form says exactly that: additional dates can be added later. All the discussion, quotes and the contract then happen on that one event.

Adding the extra dates to the contract

The supplier adds the remaining dates when creating the booking contract:

  1. In the contract editor, under the event timings, click Add more dates & times.
  2. An Additional dates & times box appears - type each extra date with its timings, e.g. Sat 12 June 7pm-11pm, Sun 13 June 3pm-6pm.
  3. Set the total fee to cover the entire booking - every date, all inclusive.

On the finished contract, the first date appears under Event Date & Timings and everything you typed appears under Additional Dates & Timings - so both parties can see the full schedule they're agreeing to.

Example: a band booked for a festival's Friday and Saturday nights would have the event date as Friday 11 July, "Sat 12 July, 8pm-10pm main stage" in the additional dates box, and one total fee of £2,000 covering both nights - meaning a £200 deposit confirms the whole booking, and £1,800 is paid directly to the band.

Long-term contracts

For an ongoing arrangement - say a pianist every Sunday for six months - use the same approach:

  • Enter the start date as the event date.
  • Describe the full schedule and duration in the additional dates & times box and the services section (e.g. "every Sunday 12pm-3pm until 20 December").
  • List the total fee for the entire arrangement on the contract, with payment instructions saying how it's paid (e.g. monthly instalments by bank transfer).
