How to book a supplier

Booking a supplier on Gig Heaven follows one simple path: enquire, discuss, agree a contract, pay the deposit - and your event is locked in. Everything happens in your account, so there's a written record at every step. Here's the whole journey from first click to confirmed booking.

1. Make an enquiry

Found someone you like the look of? (If not, start with how to find a supplier.) Click Contact Now on their listing and tell them about your event - the form asks for your date, location and what you need. Ask a question or explain what you need, but don't share personal or contact details yet (see how communication works). You can also enquire with several suppliers at once - see shortlisting.

2. Discuss the details

The supplier replies in your Messages, where you can talk in real time when you're both online. For anything better discussed face-to-face, hold a free video meeting right in your account - a good way to check you click before committing.

3. Get a quote, then request the contract

When you're ready, the supplier sends you a quote - a firm, all-inclusive price covering all taxes, travel and expenses. If you're happy with it, click Request contract on the quote. The supplier then draws up the booking contract, signs it and sends it to you.

4. Review and agree the contract

You'll be notified when the contract arrives. Read it carefully - it sets out the services, date and timings, the total fee, and the supplier's payment instructions. Then either:

  • Agree contract - digitally signs it as you, or
  • Request edits - tell the supplier what you'd like changed and they'll send an updated contract (see amending a contract).

5. Pay the deposit - booking confirmed

After agreeing the contract, pay the 10% deposit by card to Gig Heaven (see how to pay the deposit; if you can't pay by card, we offer alternative payment methods). That confirms the booking: the date is locked in, and you and the supplier automatically receive each other's direct contact details to arrange the day. The remaining 90% is paid directly to the supplier as the contract sets out - see how payments work.

You can see whose move it is at any time - the booking's status (contract sent, agreed, confirmed and so on) is shown on your events list. See understanding contract statuses.
