How to book a supplierTo book a supplier, click 'Contact Now' on their listing and discuss your needs via messaging or video call. Once ready, ask them to send a contract, review it in your account, and accept or request changes. After agreeing to the contract, pay a 10% deposit by card (or contact us for alternative payment methods) to confirm your booking.
Creating a booking contractClick 'Manage Booking' in your Gig Heaven account to create a contract. Enter your total fee (including taxes and expenses), then save it for later or send it straight to the customer. If they request changes, you can edit and resend it. We recommend requesting payment by the event date.
How to change the date of an eventBefore a contract is created, you can change the event date yourself by going to My Account, finding your event, and clicking 'Edit Event'. Once a contract exists, contact admin@gigheaven.com with your event ID and new date - make sure both parties agree first, and we'll update both the event and contract dates.
Booking multiple dates or long term contractsTo book a supplier for multiple dates, the supplier can add all dates when creating the booking contract. For long-term contracts, enter the start date as the event date and describe the full duration in the services section, with the total fee for the entire booking listed on the contract.
Cancelling a bookingTo cancel a booking, you and the supplier must both agree to the cancellation. Check if the supplier has a cancellation policy listed in the contract - if so, follow those terms. If not, you'll need to discuss and agree on cancellation terms together. Once you both agree, contact Gig Heaven to officially cancel the booking and remove the contract.
Expired contractsWhen a contract reaches its expiration date, it automatically expires if the customer hasn't agreed to it. To give the customer more time, the supplier can extend the contract by clicking 'Manage Booking' in their account.
Understanding contract statusesGig Heaven bookings progress through statuses including Contract created, Contract sent, Contract amendments requested, Contract agreed, Contract fully confirmed (when deposit is paid), Event completed, and Contract expired. The status shows you what stage the booking is at and whose turn it is to act next - for example, once a customer signs, the status changes to 'awaiting customer deposit', and once the deposit arrives, the status changes to 'fully confirmed' and contact details are shared.
Amending a contractTo request changes to a contract, click 'Request edits' on the contract page and describe the specific changes you want (timings, fees, services, etc.) in the form. The supplier will update the contract and resend it for you to review. If you haven't paid the deposit yet, amendments don't affect it - you only pay once the final contract is signed.
What happens when a supplier doesn't replyIf a supplier hasn't replied within about 24 hours, Gig Heaven automatically sends them a reminder email, with further nudges following if needed - you don't need to do anything. In the meantime, contact other suitable suppliers via search or shortlist, or ask us to help by using the 'Let us plan your event' service. If the issue persists or an event is close with no replies, contact us directly for assistance.
If plans change: reschedule or cancelIf your event details like date or venue have changed but you're keeping the same supplier, go to My Account, open the event, edit the details and save - everyone gets notified automatically. If the event isn't happening or you need a different supplier, cancel the booking instead. For cancellations with a paid deposit, contact Gig Heaven first to handle the refund properly.
Leaving and responding to reviewsAfter an event, you'll receive a feedback request email with a link to leave a review. Enter your name, a rating out of ten, and a detailed review of at least 50 characters - avoid using quote marks. Your review goes through moderation before appearing live, usually within 24 hours for new suppliers or 1-2 working days for established ones. If you made a mistake, contact us to edit it; reviews can be removed if they violate our policies.
Requesting a review from your customerAfter your event date passes, Gig Heaven emails you the next day with a link to invite the customer to review. Click that link to send them a Feedback Request email, where they can rate you out of ten and write a short review. Reviews appear on your listing once approved. The best time to request is right after the event when their memory is fresh, and only if you're confident they were satisfied.
