What happens when a supplier doesn't reply

Most suppliers reply within a few hours. Occasionally you'll send an enquiry and hear nothing back (they might be away, fully booked, or simply missed the alert). This article covers what Gig Heaven does automatically, and what you can do yourself if you need a reply quickly.

The automatic nudge

If a supplier hasn't replied to your message within about 24 hours, we automatically email them a reminder with the subject You have a message waiting! pointing them to their messages. If they still don't respond, further nudges follow, up to a small maximum so we're not spamming them.

You don't need to do anything to trigger this, it's automatic.

Many suppliers reply in the evening rather than during the day because they gig weekends and rest mornings. Don't panic if you haven't heard anything by lunch-time.

What you can do in the meantime

  • Contact more suppliers. Use search to find other suitable acts and enquire with them too. You're not committed to anything until you sign a contract.
  • Build and contact a shortlist. On your event you can add multiple suppliers to a shortlist and message them all at once, see Shortlisting and contacting several suppliers at once.
  • Ask us to help. Use Let us plan your event and our team will send your event details out to suitable suppliers on your behalf.

If the enquiry looks suspicious

If a supplier thinks an enquiry isn't genuine (for example unusual event details, obvious spam), they can report the event to us from their messages. That doesn't stop you contacting other suppliers. If you think a supplier is behaving suspiciously, see Reporting suspicious activity or a user.

When we step in

For anything that doesn't resolve through the usual reply-and-nudge cycle (for example a supplier went quiet after agreeing a contract, or an event is close and nobody has replied), contact us. We'll look into it and help you get the event covered.
